Job Description, JD

  • If the hiring manager is creating a new JD or needs to change/update an existing one, they will need to send the new JD along with the approved JD to the HR Representative, Sunny.
  • The JD will need to be sent to the Director of HR, and the Compensation Analyst for review and approval.
  • Once it’s approved, the process can move to the next step, Recruitment Packet.

If it’s a brand new position, a new position number will need to be created. Please provide information such as job code, department, supervisor, FTE %, and KFS account.

Recruitment Packet

  • Position Request Memo: The body of the memo is editable for the hiring manager to include an explanation for the position request.
  • Position Request Form: For the salary grade range, you’ll need to include the minimum and mid-range salary. For non-exempt positions, put the hourly rate. For a replacement position, provide the name and position number of the employee who resigned.
  • Approved Career Tracks JD
  • Unit’s Organizational Chart
  • SA Personnel Funding Routing Sheet

Compile the forms into one packet. Send the packet to HR Representative, Sunny, for review. Once approved, proceed to gather the required signatures.

Signatures, forms must be signed in the following order via DocuSign:

  • Hiring manager (position request memo, position request form, and routing sheet)
  • Rameen Talesh Ed.D., Associate Vice Chancellor SLL (position request memo, position request form, and routing sheet)
  • Yumi Saito, Business Manager (routing sheet)
  • Brice Kikuchi, Chief Financial Officer (routing sheet)
  • Dr. Willie Banks, Vice Chancellor, Student Affairs (position request form, and routing sheet)

Send the complete packet to, Rameen, Sunny, Dwuena Wyre (Sr. HR Business Partner), Director of HR, Julie Song (Project & Policy Analyst), and the supervisor.

It will be entered into Fastclass (the posting duration, the job will be posted for a minimum of 10 days and a maximum of 3 months, as requested by the hiring manager).

The hiring manager will start the interview process: committee reviews applicants through UCPath, interviews, and reference checks.

Once a candidate is selected, send the completed offer letter and JD to HR Representative, Sunny. The next following steps will be Onboarding Process.

*If the hiring manager would like to discuss salary negotiation, please contact HR Representative, Sunny. Will need to do an internal process with the Compensation Analyst.
